How to Plan Office Fruit and Snacks for a Hybrid Team
The short answer
Order for the days your office is busiest, not for your full headcount. Time deliveries for the start of your peak in-office days, start with a smaller box, and adjust as you learn how your team uses it. A supplier that lets you change your order easily makes this simple.
Why hybrid teams are harder to plan for
Before hybrid working, office food planning was straightforward: count the team, order for everyone, repeat every week. Now the office might be packed on a Tuesday and half-empty on a Friday.
That creates two common problems:
- Too much fruit on quiet days. If you order for your full headcount, fruit sits in the bowl and goes off before anyone eats it.
- Not enough on busy days. If you cut back too far, the bowl is empty by 11am on the days most people are in, and the perk stops feeling like a perk.
The goal is to match your order to how your office is actually used.
Step 1: Find your anchor days
Most hybrid teams settle into a pattern. There are usually one to three "anchor days" when most people come in, often for team meetings or in-office policies.
To find yours:
- Check desk or room bookings, if you use a booking system.
- Ask team leads which days their teams come in.
- Simply notice which days the kitchen is busiest over two or three weeks.
Once you know your anchor days, plan your fruit and snacks around them.
Step 2: Time your delivery for the busiest stretch
Fruit is at its best soon after delivery. If your office is busiest Tuesday to Thursday, a delivery at the start of that stretch means the most people enjoy it at its freshest. A Friday delivery for a Tuesday-heavy office means a lot of fruit waiting over the weekend.
If your office has two busy periods in the week, two smaller deliveries can work better than one large one.
Step 3: Start small, then adjust
It's easier to add than to waste. Start with a box sized for your typical anchor-day attendance, then watch the bowl for a couple of weeks:
- Empty by midday on busy days? Increase your order.
- Fruit left over at the end of the week? Scale back or switch to a smaller box.
- Some fruit always left, other fruit always gone? Change the mix, not just the size.
A quick check at the end of each week is usually enough. Office managers often find the right level within a month.
Step 4: Choose fruit that suits your week
Some fruit lasts longer than others, which matters when the office is quiet for a day or two.
- Longer-lasting: apples, oranges, clementines and pears.
- Best eaten quickly: bananas, berries, grapes and soft fruit.
Place the quick-to-eat fruit where people will see it on busy days, and let the longer-lasting fruit carry you through quieter ones. For more on storage, see How Do I Keep Fruit Fresh in the Office?
Snacks and pantry items with a longer shelf life are also a good way to make sure there's always something available, even on days the fruit bowl is lighter.
Step 5: Plan around holidays, events and seasons
Hybrid attendance isn't the only thing that changes. Build these into your plan:
- Bank holidays. Move or pause deliveries for long weekends.
- Summer and Christmas. Attendance often drops, so reduce orders for those weeks.
- Team days and all-hands meetings. Add a one-off order so there's enough for everyone.
- Back-to-office pushes. If you're encouraging people to come in more, a well-stocked kitchen helps make the office somewhere people want to be.
A simple weekly checklist
- Which days were busiest this week?
- Was the bowl empty early on any day?
- Was fruit left over at the end of the week?
- Any holidays, events or team days coming up?
- Does the order need changing for next week?
